BottleTrace™ Exchange is operated by Coa Data, LLC ("Coa Data," "we," "us," or "our"). This Privacy Policy describes how we collect, use, and protect information.
By using the Exchange, you consent to this Privacy Policy.
What information do we collect?
We collect information from you when you register for the Exchange and when you participate by reading, writing, or interacting with content.
When registering, you may be asked to provide information such as:
- your name
- your email address
- your role or professional context
- your employer or company affiliation
- your geographic region
You may browse certain parts of the site without registering.
Your email address is verified by sending a message containing a unique confirmation link. When that link is visited, we know that you control the email address provided.
When you are registered and post content, we record the IP address from which the post originated. We may also retain server logs that include the IP address of requests made to our servers.
While the Exchange is designed to allow anonymous participation, Coa Data, LLC may retain certain identifying information internally for verification, security, moderation, and operational purposes. Your real name and email address are never displayed to other members.
What do we use your information for?
Information we collect may be used for the following purposes:
- To operate and maintain the Exchange
Including account creation, verification, authentication, and access control. - To personalize your experience
Your information helps us present relevant content and respond to your role or preferences. - To improve the Exchange
We analyze usage patterns and feedback to improve functionality, structure, and moderation. - To provide support and communication
Your email address may be used to send account-related notices, respond to inquiries, provide updates, or notify you about activity you choose to follow.
We do not use personally identifiable information for advertising purposes. Coa Data, LLC may analyze and sell aggregated, non-identifiable information to understand usage patterns and market trends. This information cannot reasonably be used to identify individual members. You may opt out of the inclusion of your data in aggregated analytics by contacting us at privacy@coadata.io.
How do we protect your information?
We implement reasonable administrative, technical, and organizational measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction, including:
- encryption of data in transit via HTTPS/TLS
- encryption at rest and row-level security policies that restrict data access
- anonymous usernames that are not derived from your real identity
- access controls that limit internal access to personal information on a need-to-know basis
No method of transmission or storage is completely secure, but we take privacy and security seriously.
Service providers & data processors
We use the following categories of third-party service providers to operate the Exchange. These providers process data on our behalf and are contractually required to protect your information:
- Authentication & database services — user account management, verification, and data storage
- Email delivery services — account notifications and transactional communications
- Community platform services — forum hosting and discussion infrastructure
- Web hosting services — website and application delivery
We do not share your personally identifiable information with these providers beyond what is necessary to operate the Exchange.
What is your data retention policy?
We retain personal information as follows:
- Account data (name, email, role, employer) is retained while your account is active and for a reasonable period thereafter to support operational and legal needs.
- Post content is retained to preserve the integrity and continuity of discussions, even if your account is deactivated.
- Server logs and IP addresses are retained for a limited period for security and abuse-prevention purposes.
If your account is anonymized at your request, personally identifiable information (name, email, employer) is permanently removed from our systems. Your posts are preserved under an anonymous identifier that cannot be linked back to you.
Do we use cookies?
Yes.
Cookies are small files stored on your device that help the site recognize your browser and associate it with your account.
We use cookies to:
- maintain login sessions
- remember preferences
- understand aggregate usage patterns
We do not use cookies for advertising or third-party tracking.
Do we disclose any information to outside parties?
We do not sell, trade, or rent your personally identifiable information.
We may share information with trusted third parties who assist us in operating the Exchange, as described in the Service Providers section above, provided they agree to keep this information confidential.
We may also disclose information when we believe it is appropriate to:
- comply with applicable laws or legal processes
- enforce our Terms of Service
- protect the rights, property, or safety of Coa Data, LLC, members, or others
In addition, Coa Data, LLC may use and provide non-personally identifiable, aggregated, or anonymized information to third parties for research, analysis, reporting, or commercial purposes. This information does not identify individual members and cannot reasonably be used to identify any specific person.
Your rights regarding your data
Depending on your jurisdiction, you may have certain rights regarding your personal information:
- Access — You may request a copy of the personal information we hold about you.
- Correction — You may request that we correct inaccurate information. Profile changes are managed through bottletrace.com/account or by contacting us.
- Deletion — You may request that we delete your personal information. We will anonymize your account, permanently removing your name, email, and employer from our systems. Posts are preserved under an anonymous identifier.
- Opt-out of data sales — You may opt out of having your data included in aggregated, non-identifiable analytics by contacting us.
To exercise any of these rights, contact us at privacy@coadata.io. We will respond to verified requests within 45 days.
Colorado Privacy Act: If you are a Colorado resident, you have additional rights under the Colorado Privacy Act (CPA), including the right to access, correct, delete, and opt out of the sale of your personal data. To exercise these rights or to appeal a decision regarding your request, contact privacy@coadata.io.
Data breach notification
In the event of a data breach that compromises your personal information, we will notify affected members and applicable regulatory authorities in accordance with Colorado law and other applicable regulations. Notification will be provided within 30 days of discovering the breach and will include a description of the incident, the types of information involved, and steps you can take to protect yourself.
International users
The Exchange is operated from the United States. If you access the Exchange from outside the United States, your information will be transferred to, stored, and processed in the United States. By using the Exchange, you consent to the transfer of your information to the United States, which may have different data protection standards than your country of residence.
Third party links
The Exchange may contain links to third-party websites or services.
These third parties have independent privacy policies, and Coa Data, LLC has no responsibility or liability for their content or practices. We encourage you to review their privacy policies before engaging with those services.
Children's Online Privacy Protection Act Compliance
The Exchange is intended for professionals and is not directed to individuals under the age of 13.
If you are under 13 years of age and located in the United States, please do not use the Exchange.
Online Privacy Policy Only
This Privacy Policy applies only to information collected through the Exchange and not to information collected offline or through other channels.
Changes to our Privacy Policy
We may update this Privacy Policy from time to time. If we make material changes, we will provide notice through the Exchange or by other means. Changes will be posted on this page, and continued use of the Exchange after changes are posted constitutes acceptance of the updated policy.
